Wednesday 20th June 2018 in the Auditorium at 12:00pm
Present:
Councillors: J Baker (Chair)
In Attendance:
Teresa Turnbull – Administration Officer
There were No. 9 members of the public present and No. 0 members of the press present
The meeting started at 12.00pm
Apologies received from Shirley Pitman, Outdoor Services Manager
JB confirmed the minutes of the last meeting held on 11th April 2018
Matters arising from last meeting:
Poly tunnels – Maximum size. 14ft is the largest of the domestic range. JB confirmed as
long as it within the domestic size range, there would be no issue.
Shed/Greenhouse application to be completed for any shed/greenhouse or poly tunnel
being erected on your plot. If these have not already been submitted, please complete
retrospectively.
TT to send letter to all plot holders asking to complete if not done so.
Dog mess still an issue – Notices have been put up informing people to pick up after their
dog and dogs must be kept on a lead at all times.
JB to speak to amenities regarding a dog bin being put in the vicinity of the
allotment entrance.
TT to send letter to all plot holders reminding them of the Dog Policy.
Long/overgrown grass on a lot of plots is a big issue – An attempt was made last week
within limited time but unfortunately seeds have been blown everywhere, also a potential
fire hazard with the long dry grass.

Any concerns between inspections please contact TT to notify of specific plots that are
becoming an issue.
Clearing vacant plots take too long for new plot holders – Help required preparing plot for
new members- Amenities will strim and clear rubbish from plot but the Council do not
own a rotavator therefore this is not a service we can offer.
Any local companies/individuals that we can direct people to that might offer the service
at a cost to the plot holder.
Consistent problem plots will be reviewed– please let TT know if a plot is becoming untidy
If plot holders wish to cut back long grass on neighboring plots that have been neglected
please let TT know so a note may be made on the inspection report.
Boundaries are not always clear on the plots- This should become clearer once it’s all cut
back.
Next meeting due in August date to be confirmed in the letter going out to all plot
holders.
Inspection date to be confirmed to Allotment Holder association chairperson once a date
has been confirmed.
